Which data provided by you do we process and what do we use it for?

If you have provided us with personal data, we will only use it to answer your enquiries, to process contracts concluded with us and for technical administration. Your personal data will only be passed on to third parties or otherwise transmitted if this is necessary for the purpose of contract processing, if this is necessary for invoicing purposes, or if you have given your prior consent. We also use the Leadfeeder service, by Liidio Oy, Mikonkatu 17, 0100 Helsinki, Finland. Leadfeeder uses our Google Analytics data. The IP addresses provided by Google are used to link the collected data to companies that can be found on the Internet at these IP addresses. The IP addresses are already shortened by Google Analytics, but no personal allocation is possible. However, it is possible that a personal reference may arise from viewing the linked information. Data that we receive from lead feeders are the company name, the pages called up, the time of the visit, the reverse domain of the IP address, the referring page, application or service, including the corresponding search queries that led you to our website, browser data and the operating system used.

For what purposes do we collect your data?

It is inevitable that in the server statistics such data is automatically stored, which your browser transmits to us. These are browser type and browser version, the operating system used, the referrer URL (the previously visited page), the host name of the accessing computer (IP address) and the time of the server request. This storage serves only internal system-related and statistical purposes. Further personal data is only collected if you provide this information voluntarily, for example as part of an enquiry or application. We are generally unable to assign the above-mentioned data to specific persons and do not merge this data with other data sources. Unless stated otherwise in detail in the relevant sections of the website, personal data generated from the use of our website is processed as follows:

1. Ordering publications, brochures, use of contact form (art 6 (1) lit. b) GDPR)

Some of the pages on our website allow you to contact us or order certain publications, brochures and to request quotations. These pages indicate which data we are collecting to satisfy your request. We generally only collect the data required for the specified purpose. If you would like to receive our brochure by mail, for example, we ask you to provide your first and last name, as well as your title and mailing address. Without this information, we are unable to send you the publication you requested and address it to you personally.

2. Customer service (Art. 6 Abs. 1 lit. b, f) GDPR)

P3 Security uses your personal data to address you for the purpose of contract processing or to process a request you have expressed (e.g. requests for brochures, offers, inquiries and complaints to P3 Security customer service). For all aspects of contract processing or the handling of a request, we will contact you without separate consent, e.g. in writing, by telephone, by e-mail, depending on which contact data you have provided. We will also contact you in carefully considered cases with marketing communication if the necessary data protection requirements are fulfilled and you have not revoked the use of your data for the purpose of a written address in knowledge of a right of objection.

3. Marketing communication and market research based on consent (Art. 6 Abs. 1 lit. a) GDPR)

If consent is separately given to further use of your personal data, your personal data may be used by P3 Security to the extent described in the consent, for example for marketing activities (selected offers for products and services of P3 Security) and/or market research. Details can be found in the respective declaration of consent, which can be revoked by you at any time. If consent is given in marketing communication, P3 Security collects and processes:

In the data protection declaration you also specify which communication channels (e.g. post, telephone, e-mail) we may use to contact you. Data processing for marketing purposes is usually carried out in Germany, under no circumstances personal data is transferred to a country outside the EU.

4. Data transfer to selected third parties

Data will be forwarded to the following companies, if the necessary privacy policy are fulfilled: to meticulously selected and audited service providers and business partners with whom we work in order to offer you products and services. We do this for P3 Security only within the framework of the strict requirements of data processing on behalf or on the basis of your express consent. in the event of the purchase of one or more business units of P3 Security to a company to which we transfer our rights, in compliance with any existing agreements with you. to other third parties (e.g. public authorities) insofar as we are legally obliged to do so. How long do we store your data?

We store your personal data only as long as required for the intended purpose. If data is processed for multiple purposes, it will be deleted, or only stored in a form that cannot be directly traced back to you, as soon as no longer needed for the final specified purpose.

  • Utilization for performance of the contract
    In order to fulfil contractual obligations, data collected may be kept for as long as the contract is in force. As well as 6 or 10 years, depending on the character and scope of the contract, in order to comply with the legal storage obligations and to clarify any inquiries or claims after expiry of the contract. In addition, there are contracts for the supply of products and services which require longer retention periods.
  • Verification of entitlements
    We may retain information that we deem necessary to investigate, defend, or bring legal action or claims against you, us or any third party for as long as such action could be instituted.
  • Use for customer and marketing purposes
    For customer and applicant support and marketing purposes, the data collected from you may be stored 3 to 10 years after the collection, unless you wish this data to be deleted and there are no contractual or statutory storage obligations that conflict with this deletion request.

How do we store your data?

We utilise state-of-the-art technology to store your data. The following safeguards are used, for example, to protect your personal data from misuse or any form of unauthorised processing:

access to personal data is restricted to a limited number of authorised persons for the stated purposes.

the data collected is only transmitted in encrypted form.

sensitive data is also only stored in encrypted form.

The IT systems used for processing data are technically isolated from other systems to prevent unauthorised access and hacking.

Rights of the data subject.

As the party affected by the processing of your data, you may claim certain rights under the GDPR and other relevant data protection regulations. Under the GDPR, you are entitled to claim the following specific rights vis-à-vis P3 Security GmbH as the data subject: Right of access by the data subject (ART. 15 GDPR): You have the right to request information on the data we hold about you from us at any time. This information includes, but is not limited to, the categories of data we process, the purposes for which it is processed, the source of the data if not collected directly from you, and, if applicable, the recipients with whom we have shared your data. You can obtain a copy of your data from us free of charge. If you require additional copies, we reserve the right to charge you for these copies. Right to rectification (ART. 16 GDPR): You have the right to request that we rectify inaccurate data relating to you. We will take appropriate steps to keep the data we store and process on an ongoing basis accurate, complete and current, based on the most up-to-date information available. Right to erasure (ART. 17 GDPR): You have the right to request that we erase your data, as long as the legal requirements for this are satisfied. This may be the case under Art. 17 GDPR if

  • the data is no longer required for the purposes for which it was collected or otherwise processed;
  • you withdraw the consent on which data processing is based, and there is no other legal basis for processing;
  • you lodge an objection to the processing of your data and there are no legitimate reasons for processing, or you object to data processing for direct marketing purposes;
  • the data was processed unlawfully,
  • and provided that processing is not required to ensure compliance with a legal obligation that requires us to process your data
  • especially with regard to statutory retention periods;
  • to establish, exercise or defend legal claims.

Right to restriction of processing (ART. 18 GDPR): You have the right to request that we restrict processing of your data if

  • you dispute the accuracy of the data – in which case processing may be restricted during the time it takes to verify the accuracy of the data; processing is unlawful, and you reject erasure of your data, requesting that its usage be restricted instead;
  • we no longer need your data, but you need it to establish, exercise or defend your rights;
  • you have lodged an objection to its processing, as long as it is not certain that our legitimate reasons outweigh yours.

Right to data portability (ART. 20 GDPR): You have the right to request that we transfer your data – if technically possible – to another responsible party. However, you may only enforce this right if data processing is based on your consent or is necessary for the performance of a contract. Rather than receiving a copy of your data, you may also ask us to submit the data directly to another responsible party specified by you. Right to object (ART. 21 GDPR): You have the right to object to the processing of your data at any time for reasons that arise from your particular situation, as long as data processing is based on your consent, on our legitimate interests or those of a third party. In this case, we will cease to process your data. This does not apply if we can show that there are compelling legitimate grounds for processing that outweigh your interests, or if we need your data for the establishment, exercise or defence of legal claims.

Time limits for compliance with the rights of the data subject.

We make every effort to comply with all requests within 30 days. However, this period may be extended for reasons relating to the specific right or complexity of your request.

Restriction of information for compliance with the rights of the data subject.

In certain situations, we may be unable to provide you with information about all your data, due to legal requirements. If we are unable to fulfil your request for information in such a case, we will notify you of the reasons.

Complaint to supervisory authorities.

P3 security GmbH takes your concerns and rights very seriously. However, if you believe that we have not responded in an appropriate manner to your complaints or concerns, you have the right to lodge a complaint with your local data protection authority.
